OCNS Student Travel Awards

Limited funds to support student travel to CNS*2009 in Berlin are available. To be eligible for a travel grant, an applicant must currently be a graduate student or an undergraduate student and be the first or presenting author on an abstract that has been accepted by the CNS*2009 Program Committee. Grants will be awarded based on the quality of the abstract as judged by the Program Committee and programmatic considerations.

It is important to note that the travel grants are intended only to defray some of the cost of travel to the meeting, and therefore students should acquire additional funding to cover the bulk of the costs for attending the meeting. Also, where applicable, students should investigate visa requirements for entering Germany and allow sufficient time to obtain a visa.

To apply for a travel grant send an e-mail requesting a grant to travel@cnsorg.org . The e-mail must have the subject “travel grant application” and must contain the following information:

  1. name of applicant
  2. name of applicant’s institution
  3. name of the faculty member with whom applicant works
  4. country from which the applicant will be traveling
  5. title of the abstract that applicant has submitted
  6. list of all authors in order of appearance on submission
  7. name of presenting author

IMPORTANT: Applicants must also indicate on their abstracts that they will be applying for a student travel award. This should be done by including the statement "[Student's Name] will be applying for a student travel award" at the bottom of their abstract.

Application deadline: February 20, 2009

Successful applicants will be notified by e-mail shortly after the Program Committee has notified authors of the acceptance of their abstracts. Awardees must confirm that they will accept the award and will be attending the meeting within two weeks of receiving their award notification. Travel awards will be given to awardees at the meeting - registration and attendance of the meeting is mandatory. Award amounts can vary from year to year, but typical award amounts are ~300$US for travel within a continent and ~600$US for intercontinental travel.

Reimbursements for Invited Speakers

Invited speakers for the main meeting will be reimbursed for their travel expenses. Please note that speakers receiving reimbursements will be directly notified of this in advance.

Airfare
Invited speakers requesting reimbursement for airfare will be required to purchase their tickets at least 21 days in advance of their departure date to receive associated discounts for early purchase. Participants not abiding by this policy will not be reimbursed for the difference in cost between their ticket and the same ticket bought 21 days in advance. Speakers will only be reimbursed for the cost of coach/economy fares. Additional costs for business class or first class tickets are the responsibility of the speaker. Speakers are encouraged to keep their airfare costs as reasonable as possible.

Hotel/Lodging
A complimentary (no charge) room will be provided to invited speakers. Incidental expenses such as laundry, telephone calls, movies or entertainment will not be reimbursed. Lodging will only be covered for the nights that the speaker is active in the CNS meeting plus one night for travel (after arrival or before departure).

Meals
To cover expenses for meals that are not provided in association with the CNS meeting, the speaker will receive a per diem based on US Federal guidelines for the host city. See http://www.gsa.gov or http://aoprals.state.gov .

Miscellaneous Expenses
Other reasonable and customary expenses such as ground transportation (e.g. taxi cab, shuttle) or parking will be reimbursed. Expenses for a rental car will generally not be reimbursed unless it can be shown that use of a rental car reduced the total expenses association with ground transportation used in association with the meeting.

Registration
Invited speakers will receive complementary registration for the main meeting and workshops.
